Privacy policy
Effective date: October 15, 2026
OctaPulse ("the app") is made by Vibes Labs ("we", "us"). This policy explains what the app collects, why, who can see it, and how to delete it. Contact: vibeslabs-support@googlegroups.com.
What we collect
Your account. Your email address and a password. Sign-in is handled by Amazon Cognito; we never see or store your password. Cognito sends you email verification and password-reset codes.
Settings. Your country and preferred units (km or miles, litres or gallons, mileage format).
Your vehicles. What you enter: make, model, year, trim, engine size, fuel type, tank capacity, the unit your odometer shows and an optional nickname.
Your refuelings. What you enter for each refueling: date and time, odometer reading, amount of fuel, fuel grade, price and currency, whether you filled the tank, whether you skipped logging one, and the fuel station you chose. From these we calculate your mileage.
Location. With your permission, the app uses your phone's location while you use it (never in the background) to suggest nearby fuel stations and your city.
- When you save a refueling, the phone's location at that moment is stored with it. We delete that precise location after 30 days and keep only the distance between your phone and the station, which we use to check that a refueling happened at the station (for station rankings, prices and points).
- Locations used to look up nearby stations or your city are not stored, and our server logs record these requests without the coordinates.
- Most station searches happen on your phone, using station data the app downloads.
Google Timeline import (optional). If you import a Google Maps Timeline export to fill in missing odometer readings, the file is read on your phone. Only the distances driven between refuelings are sent to us; your locations and the file never leave your phone.
Contributor leaderboard (optional). If you join, we store the nickname or name you choose and calculate points, a rank and badges from your verified refuelings. You can leave at any time.
Stations and amenities you add. Fuel stations you submit (name, brand, location) and your yes/no confirmations of a station's amenities (for example air, toilets, payment methods), linked to the refueling you made them with.
Technical data. Our servers record each request's IP address, time and the address requested (without coordinates). These logs are deleted automatically once they reach a small size limit, and are kept only as long as needed to run and secure the service.
What we do not collect. No advertising, no ad or analytics SDKs, no tracking across apps or websites, no contacts, photos or other files (except a Timeline file you pick, read on your phone), and no background location.
How we use it
- To show your own mileage, spending and history, and to keep your devices in sync.
- To rank fuel stations by the real-world mileage drivers get, calculate station fuel prices and the cost of driving per distance. These are calculated from many users' data and published without saying who contributed.
- To run the contributor leaderboard, if you join, and to keep it fair (for example, physical checks on entries and a trust score that gives less weight to data far from other drivers' results).
- To keep the service working and secure.
We do not sell your data and do not use it for advertising.
What other people can see
- Station rankings, prices and amenities are public, as totals and averages. They never show who contributed, and a price is never linked to the person who reported it.
- The contributor leaderboard shows, only if you join, your chosen nickname or name, points and rank, for your city, country and worldwide. It never shows your email or which stations you use.
- Everything else (vehicles, refuelings, mileage, location) is visible only to you.
Who processes your data
- Amazon Web Services hosts the app's server, database, backups and file delivery, and runs sign-in (Amazon Cognito). Data is stored in the United States (AWS region us-east-2, Ohio). If you use OctaPulse in India, your data is transferred to and processed in the United States, outside India.
- Cloudflare provides DNS for our domain only; your data does not pass through it.
- Station data comes from OpenStreetMap (© OpenStreetMap contributors, ODbL) and vehicle data from the US EPA (fueleconomy.gov). We do not send your data to either.
How long we keep it
- While your account exists, we keep your data so the app works.
- The precise location stored with a refueling is deleted after 30 days.
- Database backups are kept for 30 days, and disk snapshots for 4 weeks.
- When you delete your account, you are removed from rankings, leaderboards and prices within about 15 minutes, and all remaining data is deleted from our database within 30 days and from backups as they expire (within 30 days).
Your choices and rights
- View and edit your data in the app; leave the leaderboard at any time.
- Delete your account in the app (Profile → Delete account, or Settings → Delete account) or at https://octapulse.vibeslabs.app/delete-account by signing in with your email and password. Deletion removes your data and your login.
- You can turn off location access in your phone's settings; you can still log refuelings and pick a station from the list.
- To ask a question, request a copy of your data, correct it, or make a complaint, email vibeslabs-support@googlegroups.com. We reply within 30 days. For users in India, this address is also our grievance contact under the Digital Personal Data Protection Act, 2023.
Children
You must be 18 or older to use OctaPulse. The app is meant for drivers and is not directed at children, and we do not knowingly collect data from anyone under 18. If you believe a child has created an account, contact us and we will delete it.
Security
All connections use HTTPS. Passwords are handled by Amazon Cognito. Access to the servers is limited to the operator, without SSH, through AWS Systems Manager.
Changes
If we change this policy, we will update this page and its effective date, and tell you in the app when the change is significant.
